Frequently asked questions
How Opsis reads receipts, how accurate the AI is, what it costs in Rand, how renewals and refunds work, and how to get started.
What is Opsis?
Opsis is an AI-powered receipt tracker for individuals. You photograph a receipt and Opsis extracts the merchant, total, VAT, date and line items, files it into your categories, flags duplicates, and keeps it ready to export.
Who runs Opsis?
Opsis is a trading name of Barend Botes, a sole proprietor based in Pinetown, KwaZulu-Natal. You can reach us at barend@botesnetworks.co.za or +27 83 650 6144. The full supplier details are in the Terms of Service.
Is Opsis for businesses?
Opsis is for individuals keeping their own receipts. Every receipt, category and setting belongs to your account and nobody else's.
How does Opsis read receipts?
A vision AI model first checks the image is legible, then extracts the merchant, total, VAT, date and line items and files it into your categories. You review anything it flags instead of retyping every slip.
How does Opsis organise my receipts?
Every receipt is filed into a category and a subcategory — the AI picks the subcategory it fits best, and you can change it if it's wrong. Tags are yours: label anything Business, Personal, a trip, or whatever grouping makes sense to you, and apply as many as you like to a receipt.
Can Opsis send my receipts to my accountant?
Yes. Set a recipient and a day of the month, and once a month Opsis emails everything you've tagged for them: a CSV plus the receipt images. If the images come to more than 8 MB, the email carries the CSV and a private download link for the images instead, which works for 14 days. You can see whether each send was delivered, and send a fresh copy yourself at any time. Only send to someone you trust with those receipts.
Which date does Opsis use?
Opsis keeps two dates on every receipt: the day you captured it and the date printed on the slip. The receipt list shows the captured date by default; the dashboard and reports use the date on the slip, so your spend lines up with when it actually happened.
How accurate is the AI, and who checks it?
Every extraction carries a confidence score, and the model's reasoning is kept so it can be checked later. A needs-attention queue surfaces anything uncertain, and you can correct any field yourself. Opsis speeds up capture; it does not replace your own review.
How much does Opsis cost?
There's a free tier with no card needed — 5 completed receipts a month — and three paid tiers above it, priced in South African Rand. Pay monthly, or yearly and get two months free. See the pricing section on the homepage for current rates. Prices are the full amount you pay: Opsis is not registered for VAT, so no VAT is added.
How do renewals and cancelling work?
Paid plans are paid in advance through PayFast. A monthly plan renews every month and a yearly plan renews for another year, until you cancel. We email you before a yearly plan renews, well ahead of the date. You can cancel on the Billing page at any time: the renewal stops, and you keep everything you've paid for until the end of that period.
Can I get a refund?
You may cancel within seven days of subscribing for a full refund — unless a receipt has already been processed on your paid plan, because the service has then started with your agreement, which ends the seven-day cooling-off right. You can also end a yearly plan early on 20 business days' notice: we refund the unused whole months, recalculated at the monthly price. Email us to ask; refunds are paid within 30 days.
What counts as a completed receipt?
Only receipts Opsis processes all the way to completion count against your plan's monthly allowance. Blurry re-shoots, images it cannot read, and duplicates don't use up any of it.
Is Opsis built for South Africa?
Yes. Pricing is in South African Rand and Opsis is VAT-aware, extracting the VAT amount from every receipt you capture.
Does Opsis keep my records for SARS?
No. Opsis helps you capture, organise and export copies of your receipts, but it doesn't replace your own tax record-keeping. SARS generally requires records to be kept for five years, and electronic records to be kept in South Africa unless SARS agrees otherwise — and Opsis stores data outside South Africa. Keep your originals or your own copies, and export from Opsis whenever you need to.
Can I use Opsis on my phone?
Yes. Opsis is built for the phone first — capture is a photo away — and it can be installed to your home screen like an app. It updates itself and tells you when a new version is ready. A receipt you capture with no signal waits on your phone and uploads itself once you're back online.
Is my data secure, and where is it stored?
Receipt images and data are encrypted in transit and at rest, and stored on Cloudflare's global network, outside South Africa. Every read is checked against your account before a byte is served. Card details never reach us — you enter them with PayFast.
Do you use my receipts to train AI models?
No. Receipts are sent to the AI model only to read them for you, and only to AI services that keep no copy of what they're sent (zero data retention) — so they aren't stored or used for training there, and we don't train models on them either. We never sell your data.
Can I export my data?
Yes. Any filtered view exports to CSV plus the original receipt images, whenever you need it.
How do I delete my account or my data?
Go to Settings and choose "Delete my account". It cancels any PayFast subscription and deletes your account, receipts, images and exports straight away — you'll need to have signed in within the last day, and it can't be undone, so export first. We keep only what the law or security requires, such as payment records. You can also email barend@botesnetworks.co.za from the address on your account and we'll do it within 30 days.
How do I get started?
Sign up free — it takes a couple of minutes and no card is needed. You'll get sensible default categories from day one, which you can rename or add to as you like.
